Notion
Connecting Notion gives your team a Notion database with a page for every client, kept in step with big big stays the source of truth: it fills the database for you, and the fields you allow can be edited from Notion and flow back into big
What syncs
Every client gets one page in the database you choose. These columns are filled in for you:
| Column | Type in Notion | Editable from Notion |
|---|---|---|
| Name | Title | Yes |
| No, big uses it to recognise the client | ||
| Phone | Phone | Yes |
| Status | Select | Yes |
| Each part of the client's chart, such as Goals or Injuries | Text | Yes |
| Your practice's extra client fields, such as Program | Matching type | No, unless you allow it |
| Add note | Text | Yes, see below |
| big ID | Text | No |
A workspace admin can choose which columns are editable, turn columns off or rename them under Notion fields on the Notion connection's page. big ID and Name always sync, and big ID and Email always stay display-only. See Notion field settings.
Notes are never overwritten. Type a note into Add note on a client's page. big saves it as a new note on the client's record and then clears the box, so the full history stays in big
How changes move
- big checks Notion and sends its own changes every ten minutes.
- When a client is edited on both sides between checks, the most recent edit wins. Every version stays in the client's history in big, so an overwritten value can be found again.
- An edit big can't accept, such as a status that doesn't exist or a change to Email, is not saved. The page goes back to big's value on the next sync.
- Pages you create by hand in the database are left alone. New clients come from big
- When a client's data is deleted in big, their Notion page is moved to the trash on the next sync.
Set up the connection
You need to be a Notion workspace owner to create the connection.
- In Notion open Settings → Connections → Develop or manage integrations and create a new internal integration for your workspace, for example "big".
- Under Capabilities, keep Read content, Update content and Insert content. big doesn't need user information.
- Copy the Internal Integration Secret.
- Create the clients database (or pick an existing one), open its ••• menu, choose Connections, and add the integration you created in step 1. Share only this database.
- Copy the database link and keep the 32-character ID from it.
Connect it in big
Open Connect → Integrations → Browse catalog, choose Notion, paste the Internal Integration Secret and the Clients database ID, and save. big checks the secret with one read-only call and shows your Notion workspace's name once it is connected. The full walkthrough, including rotating and disconnecting, is Connect an integration.
If big reports that it can't see the database, the database hasn't been shared with the connection yet: add your integration under the database's Connections menu.
When you rotate or disconnect
big can't revoke a Notion secret. After rotating or disconnecting in big, open the integration in Notion and refresh its secret, or remove the integration from your workspace.
